Approved AS Officer Duties and Responsibilities Code

Spring 2025

  1. NAME
    1. This document shall be called the duties and responsibilities for the Associated Students Academic Affairs Senator
  2. AUTHORITY
    1. This code is established under the authority of the AS Senate, as stated in Article III Section 5 of the Associated  Students Bylaws
  3. PURPOSE
    1. This code shall identify the duties and responsibilities of the Academic Affairs Senator of the Associated Students  of Sonoma State University. The Senator is accountable to these duties and responsibilities and those listed in  the AS bylaws.
  4. DUTIES & RESPONSIBILITIES - The AS Senator of Academic Affairs will promote a sense of community and belonging,  while also advocating on behalf of the students of Sonoma State University. The duties should be performed with  specific emphasis on the academic life of the students of the university.
    1. Serving/representing the best interests of the students of SSU and the Associated Students of Sonoma State  University, Inc.
    2. Serving as a voting member of the AS Senate
    3. Serving on at least one AS Senate Board  
    4. Serving on at least one AS Policy Review Committee
    5. Serving on at least three University Committees
    6. Serving as a member of the following university committees:
      1. Academic Senate Educational Policies Committee
      2. Academic Senate Academic Advising Sub-Committee
    7. In partnership with the AS Executive Vice-President, serve as a liaison to the Office of the Provost and the  leadership of the SSU Academic Senate Leadership.
    8. Attend and actively participate in scheduled meetings of the AS Senate, attend the mandatory fall and winter Board retreat(s) and/or trainings.
    9. Attend any training and professional development sessions scheduled during the fall and spring semesters
    10. Develop, promote, and bring forward ideas, topics, and issues related to enriching the lives of students and  building a sense of community, with special emphasis on the academic programs and operations of the  university, to the AS Senate.
    11. Shall actively be involved in the programs, services and events of the Associated Students
    12. Shall keep five (5) office hours per week during the academic year
      1. These hours shall be completed between the hours of 8:00am - 6:00pm, consistent with the regular business  hours of the university
      2. Office hours shall not be used to complete personal tasks, rather position related tasks should be  accomplished during this time
    13. Shall spend six (6) hours per month the AS Senate is in session, or three (3) hours per month the AS Senate is in  session for only part of the month, on AS outreach in addition to required office hours
    14. At least 2 outreach hours in a semester shall be dedicated to outreach activities that involve volunteering for an  AS program that is not Student Government.
    15. Perform other duties as assigned by the AS Senate
  5. QUALIFICATIONS
    1. All persons seeking to become or remain a Senator must be a member of AS
    2. Each person seeking to become or remain a Senator must comply with the requirements established by the AS  Bylaws, the Trustees and the University President. Under extraordinary circumstances, the University President  in their discretion may make an exception to these requirements.
    3. The Academic Affairs Senator shall be elected by an absolute majority vote of the members voting at the duly  held Annual Spring Election conducted in accordance with these Bylaws and the Sonoma State Elections Code.  In the case a Senator is not elected, resigns, or is removed from office the Senate will fill the vacancy according  to processes outlined in Article IX of the AS Bylaws.
